The client
Rey's Stone Works is a masonry company based in New Britain, Connecticut, building patios, stone walls, chimneys, fireplaces and entryways for homeowners, property managers and contractors across Connecticut and Massachusetts. The work is excellent. The website wasn't telling that story, and the office side of the business was spread across a dated WordPress site, a Gmail inbox and a QuickBooks subscription Rey was paying $200 a month for, mostly to write estimates and invoices.
The challenge
Rey needed two things. First, a website that looks like the quality of his work and turns a visitor on a phone into a call or an estimate request. Second, a simpler way to run the jobs that come from it: follow up on requests, write estimates, invoice, track check and cash payments, and hand his accountant clean numbers, all without paying monthly for software he only half used.
The website
We kept the brand's forest green and bronze and rebuilt the site from scratch as a fast, modern, fully responsive build. Every page is designed phone-first, because that's where many homeowners look for a contractor. A slim, app-style bar at the bottom of the screen keeps Call Now and Free Estimate one tap away on every page. A before-and-after slider lets the work speak for itself, and a short three-step estimate form replaces the long contact form that used to put people off.
To launch on Rey's schedule, we built a branded coming-soon page with the same call and estimate buttons, plus a launch switch: one click takes the full site live, and a private preview link lets Rey and his team review it on their own phones beforehand. Old WordPress links redirect to their new pages, so nothing he'd built up in search was lost.
The staff portal
Behind the website sits a private staff portal built specifically for how Rey works. Every estimate request from the site lands in one list with its status, the assigned estimator, the site visit and notes. Before a visit, one click prints a field estimate sheet already filled in with the client's details, with room for measurements, a site sketch and a checklist.
Admins decide exactly what each staff member can see and do with simple on/off permissions. A built-in metrics page shows visitors, devices and where traffic comes from, without cookie banners or a third-party analytics account.
Estimates, invoices and payments
The portal also replaces the QuickBooks estimates and invoices. Rey adds line items the same way he always has (product or service, description, quantity, rate) and Connecticut sales tax is calculated automatically. An approved estimate becomes an invoice in one click, with the deposit recorded in the same step. Check and cash payments, including partial payments, update each invoice's balance as they come in, and an open-balances list shows who still owes what.
Estimates, invoices and receipts go out from the portal as branded PDFs, sent from the company's own billing address, with a private link the client can open on a phone. We tuned the email setup so those messages reach inboxes rather than spam folders.
For the accountant, four reports (sales, payments received, open balances and sales tax) can be downloaded as spreadsheets or PDFs, or emailed to the CPA in one step. Once a period is finished, Rey can lock it so nothing changes by accident.
The result
Rey's Stone Works now has a website that matches the craftsmanship of its work and a back office that fits the way a masonry company actually runs, on a desktop at the office or a phone at a job site. The invoicing tools were built to replace the $200-a-month subscription, and the whole platform comes with a 33-page illustrated user manual so the team can get going without hand-holding.
